Summary

Under general supervision of the Human Resources Director, the employee assists in the file maintenance of county employee personnel records.  The intern organizes and maintains a hard copy file system that is accurate, preserving county records and managing paperwork effectively. The employee must maintain a high standard of confidentiality of all employee records and information.

Responsibilities

  • Performs a wide range of duties relative to the maintenance of personnel files.
  • Assists in the scanning, indexing, and filing of employee personnel records, ensuring personnel records are organized and maintained in an orderly manner.
  • Sorts and files forms, reports, correspondence, and related documents.
  • Performs other duties as assigned.

Education and/or Experience

Education and/or Experience

  • Graduation from high school or GED.
  • 1-year clerical experience, with 9 months specifically in file maintenance preferred.
  • Student or within one semester of graduating from a higher education institution.

Knowledge Required

  • General knowledge of modern business office practices and procedures.
  • General knowledge of record keeping and related practices and requirements.
  • General knowledge of Hays County regulations, policies, and procedures.
  • General knowledge of the principles, practices, terminology and techniques of Human Resources administration and office management.
  • Exceptional knowledge of confidentiality and data protection.
Skills Required
  • Proficient skill in organizing and maintaining records and files.
  • Proficient skill in reading, writing, and understanding the English language.
  • Proficient skill applying common sense understanding to carry out detailed instructions.
  • Proficient skill in maintaining moderately complex records.
